This privacy policy (“Privacy Policy”) explains how we, Reindeer AI Ltd., and our subsidiaries (together “Reindeer”, “we”, “our” or “us”) use, collect and store your personal information that we collect when you (“you”) use our website at https://reindeer.ai/ (the “Website”), or when you use our services (the “Services”).

We care about your privacy and do our best to protect it. Please read this Privacy Policy carefully, so you can fully understand what we do with your personal information. Important note: This Privacy Policy does not limit in any way your legal rights, including your rights to take legal action to protect your rights if they are violated.

We may update this Privacy Policy from time to time, so we ask you to check back periodically for the latest version.  If we make material changes in the way we use your personal information, in a way that is different from that stated at the time of collection, we will let you know by posting a notice on our Website, or by other means and take any additional steps as required by applicable law

What personal information we collect, why we collect it, and how it is used

We Process the Following Personal Information

1. Personal information collected through the Services. We collect personal information you choose to share with us, including your full name, phone number, email address, physical addresses, facility details, signatures of signatory representatives, as well as any other personal information that you decide to share. We also collect the contact and billing information of our customers.
   1. We use this personal information for example, for the following purposes: (i) to allow you to create an account; (ii) to provide you the Services and to process your requests; (iii) to communicate with you about your use of the Services and for provide you technical support; (iv) to carry out your instruction and/or request in the context of the Services; (v) to send you push notifications and/or emails and notifications regarding your account or certain features of the Services, including, updates about your subscription, and related to the Services; (vi) to personalize your experience with our Services; and (vii) to allow you to create more users and administrate your users; (viii) to generally run and improve the Services.
   2. The legal basis for GDPR and UK GDPR purposes is: Processing is necessary for the performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract’ and legitimate interest (e.g., like answering your questions).
2. Personal information collected through the Website. When you use the Website, we collect and process personal information like full name, phone number, email address, log in details (e.g., username and password), physical addresses, facility details, signatures of signatory representatives. We automatically collect certain information through your use of Reindeer's Services and Website, such as cookie, pixels, tracking technologies and similar identifiers (“Technologies”), your Internet protocol (IP) address, and other device details, browser type and language, geo-location, hardware type, operating system, internet service provider and other personal information about actions and use of the Services and Website.
   

1. We use this personal information to allow you to make use of our Website, including, (i) if you request a demo, we will use your personal information to process and answer your request for a demo; (ii) to answer your questions and to allow you to communicate with us (e.g., by using the Website chat); (iii) to analyze your use of our Website and to improve our Website; and (iv) to customize your experience.
2. The legal basis for GDPR and UK GDPR is: Processing is necessary for the performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract’ and legitimate interest (e.g., to answer your questions). We have a cookie consent mechanism available for our users to choose their preferences.
   

1. Marketing information. We collect personal information you provide us in person or online. For example, when you visit one of our exhibition booths or attend one of our events and give us your contact details. We also collect personal information from online interactions. For example, if you attend a webinar, contact us via social media or otherwise interact with our business as a customer, supplier or partner, we keep a record of those interactions, which may include your full name, phone number, email address, messages and any other personal information that you decide to provide us. Finally, Reindeer also may obtain your personal information from other sources, including public sources or through our partners and/or service providers.
2. We use this personal information to market our Services, for example by (i) notifying you about offers and services that may be of interest to you; (ii) tailoring content, advertisements, and offers for you, including, targeting practices; (iii) conducting market research; (iv) developing and marketing new products and Services, and to measure interest in Reindeer's Services; (v) other purposes disclosed at the time you provide information; and (vi) as you otherwise consent.
3. The legal basis for GDPR and UK GDPR purposes is: Depending on the case, legitimate interest (e.g., B2B marketing) or consent.
   

We process personal information for the following additional and general purposes

1. For Administrative Purposes. Reindeer uses your personal information to (i) send invoices and collect payment, (ii) answer your questions and provide customer support; (iii) perform the Services; (iv) for quality control purposes; and (v) maintain ongoing business relationships.
2. For security or safety purposes. We use some of your personal information to detect and prevent fraud or other illegal activity; to identify and repair errors; to conduct penetration tests or audits; and/or for security and safety purposes.
3. Compliance with applicable laws. Personal information may also be used to comply with applicable laws, to assist with investigations carried out by relevant authorities or law enforcement, and/or as evidence in legal cases.
4. De-identified and Aggregated Information Use. Sometimes, we may anonymize, aggregate and/or de-identify part or all your personal information (including Customer Information). We may use this data to study, improve, and test our Services (including through the use of AI) and for research. We may also share this with others.
   

Depending on the context, these additional and general purposes rely on either consent, the performance of a contract, compliance with a legal obligation to which we are subject, and/or legitimate interests.

Customer Information

1. Reindeer processes Customer Information on behalf of our customer. The customer is the one responsible for the security, integrity and usage of Customer Information and for obtaining the necessary consents and permissions. The customer is the sole responsible to ensure that the use of the Services is in line with the law.
2. Reindeer’s customer decide which personal information to collect and share with Reindeer (“Customer Information”). This Privacy Policy does not cover Customer Information, since Reindeer is a data processor/service provider of Customer Information. If you have any questions related to Customer Information, please contact the customer directly.

How we protect and retain your personal information

1. Security. We implement and maintain industry-standard technical, organizational and security measures designed to protect your personal information. However, please note that we cannot guarantee that the personal information will not be compromised as a result of unauthorized penetration of our servers. Please help to keep your personal information safe by protecting your computer, device or network and keep your passwords private.
2. Retention of your personal information. We will store your personal information until we actively delete it from our records, or until you ask us to delete it. Sometimes, we store your personal information for longer periods of time, for example (i) when required to by law, or (ii) when needed for internal record keeping in case of potential future legal claim. Where we are processing your personal information as a data processor, we may forward your request to the customer.

How we share your personal information

We may share your personal information as follows:

1. We may share the personal information with our partners and other third parties.
2. We also share personal information about you with our affiliated companies.
3. We use third party service providers to process your personal information for the purposes outlined above, for example:
   1. With cloud service providers for hosting purposes;
   2. With websites and web content creation platforms in order to help us manage our Website;
   3. With email providers, marketing, CRM, other similar tool providers;
   4. With artificial intelligence tools and features; and
   5. With analytic companies, in order to help us understand and analyze information we collect in accordance with this policy.

We may share your personal information with government agencies, courts, banks or other authorities, to comply with laws and regulations, requests of law enforcement, regulatory and other governmental agencies or if required to do so by court order, as well as for internal compliance procedures and to protect the safety, security, and integrity of Reindeer, our Services, customers, employees, property, and the public. We may use or disclose the personal information we collect to make sure our users are complying with all applicable aspects of our policies.
5. We may disclose personal information with lawyers, accountants, auditors and other professional advisors if needed for legal reasons or to protect our business interests.

We may use or disclose personal information to investigate, prevent, or take action regarding illegal activities, suspected fraud, cybersecurity threats, situations involving potential threats to the physical safety of any person, violations of this policy or as otherwise required or allowed by law and regulations.

If we sell or transfer, or we consider selling or transferring, some or all of our business, shares or assets to a third party, we will disclose your personal information with a buyer or investor (whether actual or potential). If we are acquired by, or merged with, a third party entity, or in the event of bankruptcy or a comparable event, we reserve the right to transfer, disclose or assign your personal information in connection with the foregoing events.

5. The right to the deletion of past personal information about you (your “right to be forgotten”) under certain conditions.

7. The right to data portability of personal information in a structured, commonly used, and machine-readable format, subject to certain conditions.
8. The personal information we collect is not used for automated decision-making and profiling, except for automated processes in the context of marketing. As stated above, you can opt out of direct marketing by contacting Reindeer directly or by following the instructions through the unsubscribe options in our email messages.
9. You can exercise your rights by contacting us at privacy@reindeer.ai. You can also have someone else make a request on your behalf if you provide them with a signed written permission. To protect your privacy, we may need to verify your identity before fulfilling your request. We will do our best to honor your request quickly in accordance with applicable law or inform you if we need further information to fulfil your request. We reserve the right to charge a fee where permitted by law, for example if your request is manifestly unfounded or excessive. In the event that your request would significantly affect the other’s rights, we will address your request to the maximum extent possible, all in accordance with applicable law.‍
10. Marketing emails – opt-out: If you don’t want to receive marketing email, send us an email with the subject "BLOCK" to privacy@reindeer.ai. Please note that the email must come from the email account you wish to block. Alternatively, you can use the unsubscribe link found at the bottom of the email, and we will process your request as soon as we can.

International transfers of personal information

To run our business and provide our Website and Services, we may store or transfer personal information to certain countries around the world. These countries may have privacy laws that are different from privacy laws in your country. When we transfer personal information internationally, we ensure it is done in reliance on lawful mechanisms, such as:

1. making sure the destination country has been deemed by the European Commission to provide an adequate level of protection for personal information; and/or
2. by executing data onward transfer instruments such as data processing and protection agreements.

Use by children

‍We do not offer our products or Services to children and, therefore, we do not knowingly collect personal information about children under the age of 18. Analytic tools / Cookies

• The Website uses “Google Analytics” to collect information about your use of the Website. Google Analytics collects information such as how often users visit the Website, what pages they visit when they do so, and what other websites they used. We use this information to maintain and improve the Website and our products. We do not combine this information with other personal information we collect. • We work with third party advertising partners to display advertisements of Reindeer. These advertising partners may collect and process personal information about you for the purpose of delivering advertisements when you visit third-party websites within their networks. This information includes your IP address, device identifiers, advertising IDs, browsing behaviors, approximate location data, and technical information about your device. This practice is commonly referred to as "interest-based advertising" or "online behavioral advertising.". You can opt out of interest-based advertising by: Using browser privacy controls and ad preference settings; visiting industry opt-out pages such as www.aboutads.info/choices or www.youronlinechoices.eu; adjusting your device settings (for mobile devices); or contacting directly the relevant publisher.  
• We use log files to analyze trends, administer the Website, track user movement around the Website, and gather demographic information.
• Do Not Track (“DNT”) is a privacy preference that users can set in certain web browsers. Please note that we do not respond to or honor DNT signals or similar mechanisms.
